Daily Shipping Routine

A shipping day in Mercayo from start to finish, for Shiprocket, Shipway or your own courier: confirm, pack, label, request pickups, print the manifest, hand over, and chase the parcels that need you.

Last updated 26 October 2026

This is one shipping day in Mercayo, in the order a small team usually works: the orders to confirm, the packing, the labels, the pickup and the hand-over, then the parcels that need a person. It assumes your courier account is connected and set up once (see Ship with Shiprocket and Courier Accounts); for parcels you send with your own courier, such as India Post, the label and tracking steps are your own and the rest is the same. Everything here can be done from a computer or, for most of it, from the admin on your phone.

Before the Day: Once

  • Courier Integration on, your pickup address chosen and your usual box size set in Labels and Pickups.
  • Your Courier Rules checked with Test a Rule: the default rule for most parcels, and rules for the exceptions you know (COD to far-off states, heavy parcels, PIN codes a courier handles badly).
  • A Parcel Is Stuck After (Days) set to what you consider late (3 to start with).
  • A saved view on Shipments for the parcels you check every day, for example To Pick Up with Payment set to COD.

Morning: Confirm and Pack

  1. Open Orders. If you call COD shoppers before shipping, start with Unconfirmed: call, then MARK CONFIRMED (see Unconfirmed COD Orders).
  2. Open the To ship tab. Choose the orders you will pack today and print their packing lists from the bulk bar (see Packing Slips and Labels).
  3. Pack each order against its list.

Labels

  1. With the packed orders still chosen (up to 100 at a time), press GENERATE LABELS and confirm. The courier charges your courier account's wallet for each AWB; orders that cannot ship cost nothing.
  2. Two or more orders run as a background job: "Labels for 48 orders requested. We'll tell you when they're ready." Keep packing.
  3. When the bell says "Labels ready (46 of 48)", open the job in Shipping Jobs. OPEN LABELS gives one PDF; print it and stick each label on its parcel.
  4. Press Failed in the job to see the orders that did not get a label and why. Fix each (an address, a weight, a PIN code no courier serves) and generate their labels again.

Each parcel's courier came from your rules; the order's Parcel card says which rule chose it.

Pickup and Manifest

  1. Open Orders › Shipments, tab To Pick Up. Press the header box, then Select all … matching.
  2. Press REQUEST PICKUP and confirm, unless your settings book the pickup with the labels.
  3. Keep the same parcels chosen and press MANIFEST. Print the PDF: a section per courier, each parcel's AWB as a barcode, the COD to collect, the totals and two signature lines.
  4. When the courier's person comes, hand over the parcels with the manifest and get it signed. If your courier asks for its own, press COURIER'S MANIFEST.

Afternoon: The Parcels That Need You

  1. On Shipments, open Exceptions, or switch on Needs Attention.
  2. NDR open: press NDR QUEUE and answer each failed delivery before its deadline: re-attempt (on the shopper's day), a corrected phone or address, or return. Call the shopper first when you can. See Failed Deliveries (NDR).
  3. Not collected: a parcel labelled over a day ago that the courier has not picked up. Request its pickup again, or call your courier account's support.
  4. No scan: a parcel with no courier scan for the days you set. Open it, read its last update, and raise it with your courier account's support with the AWB.

Fixing Mistakes

  • Wrong courier or wrong box: press CANCEL SHIPMENT on the parcel before the courier picks it up. The booking and AWB are cancelled, the order goes back to To Ship, and you make a new label. After pickup, ask for a return instead.
  • Booked by hand in the courier's panel: press CHECK COURIER on the parcel; Mercayo takes the booking over with its AWB.
  • A shopper cancels after the label: cancel the shipment first, then the order.

End of Day

  • To Pick Up should be empty, or hold only parcels for tomorrow's pickup.
  • Shipping Jobs should show no job with failed parcels left unread.
  • The Home screen and the bell show anything still waiting: failed deliveries, COD orders to confirm, low stock.

Questions

Can my packer do this without seeing settings or exports?

Yes. A role that can see and process orders (the Order Manager preset, for example) can generate labels, request pickups, print manifests and cancel shipments. Changing courier rules and pickup addresses needs the right to change settings.

What if the labels are not ready when the courier arrives?

The job keeps running even if you close the page. Open Shipping Jobs to see how far it has got; labels already made can be printed from each parcel's page.

Can I do the routine from my phone?

Most of it. On the phone admin, orders and parcels are cards: touch and hold to choose them, and the actions sit in the bar at the bottom. Printing labels and manifests needs a printer your phone can reach.
