India Post reaches every PIN code in the country. This guide takes a day's parcels from the Orders list to the post office counter and back to your shoppers' inboxes, with nothing written by hand. It works the same for any counter courier on your Own Couriers list.
Before You Start
- Choose your label's look and size in Shipping Label. A thermal 4 × 6 in label or A4 · Four both work at the counter.
- Give your products their weights: the label and the booking list print each parcel's weight.
1. Pack
- On Orders, open To Ship and select the orders going by post.
- Choose PRINT PACKING LISTS, print, and pack each order with its list inside.
2. Print the Self-Ship Labels
- With the same orders selected, choose PRINT SELF-SHIP LABELS in the bulk bar.
- Choose Courier: India Post, and Service: Speed Post, Registered Post or Parcel.
- Choose the paper in Print As and press OPEN PDF.
- Stick a label on each parcel. The COURIER STICKER HERE box stays empty for the counter's barcode sticker. A cash order's label reads COD / VPP · COLLECT with the amount.
Orders already booked through Shiprocket or Shipway are left out, and the message says how many.
3. Print the Counter Booking List
- Still with the orders selected, choose COUNTER BOOKING LIST, with India Post and the same service.
- Print it: your sender details, the date, then a row per parcel with the order, addressee and phone, city and PIN, weight and the COD or VPP amount, and an empty Article No. box, with the totals and signature lines at the foot.
- Take it to the counter with the parcels. The clerk's sticker or number for each parcel can go in its Article No. box, and the counter can sign and stamp the list for your records.
4. Scan the Article Numbers
- Back at your desk (or at the counter on your phone), select the same orders and choose ADD TRACKING NUMBERS.
- For each order, the sheet shows its number, addressee and PIN. Check Courier and Service, then scan the sticker on the parcel or on the booking list with CAMERA, use a barcode scanner, or type the number.
- Leave Mark shipped now ticked to ship the order at once.
- Press SAVE AND NEXT, or SKIP for a parcel you will do later.
Mercayo checks every India Post number's check digit. If you see "The check digit should be 5: check the number, or save it anyway.", look at the sticker again: a misread digit is the usual cause. SAVE ANYWAY saves the number as typed.
On the phone app, the order screen's menu has Add Tracking Number with the phone's camera.
5. What the Shopper Gets
As each order ships, the shopper's shipped message carries India Post, the article number and a link to India Post's tracking page, where they type the number (the page asks for it itself). Their order page on your store shows the same, with a COPY button.
6. Reprint with the Number (When There Is No Sticker)
If a parcel has no barcode sticker, save its number first, then press REPRINT LABEL on the order's parcel card: the label prints again with "Article EE123456785IN" as a barcode inside the sticker box.
7. Mark Delivered
India Post sends Mercayo no updates. When a parcel arrives (the shopper tells you, or you check the tracking page), press MARK DELIVERED on the order. For VPP, the cash reaches you through India Post, outside Mercayo: mark the order paid when it does.
Questions
Can I use this for DTDC or a local courier?
Yes. Choose that courier instead of India Post. Add a courier Mercayo does not list in Own Couriers.
Does Mercayo book Speed Post for me?
No. You book at the counter as usual; Mercayo prints the labels and the list, and keeps the numbers.
What if I mix India Post with Shiprocket?
Make labels for the courier-account orders with GENERATE LABELS and use self-ship labels for the rest. An order can have only one live parcel.
