GST asks for an e-way bill when goods worth more than ₹50,000 move from one place to another (rule 138 of the GST rules). Mercayo does not make e-way bills: that is done on the government's e-way bill portal, or in your accountant's software through it. What Mercayo does is make sure no parcel above the limit leaves without one: it asks for the number before the label, sends it to the courier and prints it.
When an Order Needs One
An order worth more than ₹50,000 shows an E-way Bill card in its Delivery section, in amber, saying what it is worth and that its label needs the number. Until the number is added, GENERATE LABELS (on the order, on the Orders list, in a bulk shipping job and on the phone app's ship sheet) leaves that order out and says why on its row: "Order VE-2041 is worth ₹58,400, over ₹50,000: add its e-way bill number on the order (E-way Bill), then make its label." The other orders of the run go ahead.
Some states ask for an e-way bill within the state from a different amount. Set yours under Settings › Delivery Rates and PIN Codes › Ask for an E-way Bill Above (₹50,000 to start). Mercayo's team can set it for your store too, with a reason your admin shows.
Add the Number
- Make the e-way bill on the government's e-way bill portal (or in your accountant's software), with the order's invoice.
- Open the order and press ADD NUMBER on the E-way Bill card.
- Type the 12 digits (spaces are fine) and press SAVE. The button shows Saving… until it is done.
- Make the label as usual.
To correct it, press EDIT; REMOVE takes it off. Each change is in the order's history and in Settings › Activity Log. Adding or changing a number needs the right to process orders (the owner, admins and Order Manager).
Where the Number Goes
| Where | What Happens |
|---|---|
| Shiprocket | Sent with the parcel's order as its e-way bill number |
| Delhivery (your own account) | Sent with the parcel as its e-waybill number |
| Shipway and Blue Dart | Printed on the label and slip; add it in the courier's own panel if it asks there |
| The branded label | Printed as E-way Bill No. in every look, with the order value even when prices are hidden |
| The packing slip | Printed under the order number |
| Parcels already made for the order | Get the number too (one not yet delivered or cancelled); PRINT AS draws their label with it |
Good to Know
- A label made before the number was added says Required where the number goes; print it again after adding the number.
- The order's value is its total, as on its invoice.
- Mercayo checks only that the number has 12 digits; the portal is where the bill itself is checked.
