Edit an Order

Change the items, address or delivery of an unshipped order: how editing works, what replaces the old order, how the difference is refunded or collected, resending emails and bulk notes and cancels.

Last updated 19 October 2026In your admin: Orders › an order › EDIT ORDER

A shopper calls: "Please add a second case and change the address." EDIT ORDER on the order page lets you do it while the order has not shipped. Editing needs the right to process orders, and Edit Orders Before They Ship on in Settings › Checkout and COD (on by default).

When an Order Can Be Edited

While it has not shipped and has no parcel with a courier, refund, return, exchange, store credit or gift card payment, personalised line or gift wrap. Otherwise the page says This Order Cannot Be Changed Now with the reason.

How Editing Works

  1. Press EDIT ORDER. A draft opens with the order's items, customer, address, delivery, payment, codes and staff discount.
  2. Change items, the address or the delivery.
  3. What Changes shows the order now, what was paid online, and the New total, with how it settles:
    • "₹… goes back to the customer as a refund."
    • "₹… more is to pay: a payment link asks for it."
    • "₹… is collected in cash on delivery."
    • "Nothing more to pay or refund."
  4. Press SAVE CHANGES and confirm "Save Changes to Order #…?". "Order #1042 is now order #1061."

Why a New Number

An issued GST invoice can never change. So the edited order replaces the old one: the old order is cancelled (stock back, offers released, its invoice credited in full) and the edited one is placed under a new number with a new invoice, in one step. Both orders link to each other (This Order Was Edited, An Edited Order). Tags, notes and where the shopper came from move along, and the shopper gets one "Order updated" email instead of a cancellation.

Money paid online moves to the new order. If the new total is lower, the difference is refunded the way it was paid (with REFUND NOW if Razorpay did not take it at once); if higher, a payment link asks for the balance, or more cash is collected on delivery.

Resend an Email

RESEND EMAIL on the order page (Send an Email Again) sends an email the shopper already got (Which Email: Order Confirmation, Order Updated, Shipped, Delivered, Cancelled, Returned to Store) again, Send To their address or another: "The email is on its way to …." At most 5 an hour per order; the order's history says "Email sent again".

Bulk Note and Bulk Cancel

On the Orders list, select up to 100 orders:

  • ADD NOTE: "The same note goes on each order's timeline, for your team." Tick Show it to the shopper on their order page if they should read it.
  • CANCEL ORDERS: one reason for all. "Their stock goes back, offers are given back, and money paid online is listed for a refund." Shipped, already cancelled or labelled orders are left out and named ("Not cancelled: …").

Questions

Can I edit an order after it shipped?

No. Use a return or an exchange instead.

Does editing send two invoices to my accounts?

The old invoice is credited in full by a credit note and the new order has its own invoice: the standard correction, done in one step.
