A quote is a price you agree with a business for one order. The buyer asks, you price it, and they order it at exactly those prices. Quotes are for approved business buyers (see Business Accounts) while Quotes is on in the settings at the foot of Customers › Businesses.
How a Buyer Asks
In their bag, a business buyer chooses REQUEST A QUOTE, adds a note if they like, and sends it. The bag's items move into the quote and their bag is emptied. Your team gets an email, and the quote shows on Orders › Quotes under Requested, numbered Q-1001, Q-1002 and so on.
Pricing a Quote
Open the quote. Items and Prices lists each item with Your Price, Their List (the business's price-list price, when it has one) and Quoted Price.
- Type a Quoted Price for the items you want to price; leave one empty to keep the business's own price. A quoted price must be below your price.
- Change a Quantity or remove an item if you agreed that with the business.
- Under Terms and Validity, choose the payment terms for this order (or keep the business's own), the date it is Valid Until (empty: your usual number of days from sending) and any Conditions the business should read.
- Under Delivery, check the address and the delivery option. Delivery and GST are priced into the quote.
- SEND QUOTE. The business is emailed and sent a WhatsApp message with a link to the quote in their account.
The total at the top is worked out again each time you save, exactly as checkout will charge it.
If items are short of stock, a warning shows above the items and "Only N in stock" under each one. You can still send the quote, but the business can order it only once the stock is there, so restock or change the quantities first.
You can change a sent quote and SEND AGAIN. CANCEL QUOTE (in the menu) closes it. OPEN DRAFT ORDER shows the draft behind it.
How the Business Orders It
In My Account › Business › Quotes the business sees the quote: the items at the quoted prices, delivery, GST, the total and your conditions. ORDER AT THESE PRICES places the order on its terms (Pay Later) or to pay on delivery, with its PO number if it has one. It can also DECLINE the quote with a note, which you see on the quote. A quote past its date cannot be ordered.
The order is a normal order: stock is held, the GST invoice is issued, and on terms it becomes a due (see Credit and Dues). The quote then shows Ordered with a link to the order.
Your Offers on a Quote
By default your own offers and codes do not apply to a quote: its prices are the deal. To let them apply on top, turn on Store Offers Also Apply to Quotes and Trade Prices in the settings at the foot of Customers › Businesses.
