Collections That Fill Themselves, Bulk Changes and a Spreadsheet Grid

A catalogue of hundreds of products needs tools that work on many at once. Collections that follow rules, price changes for a whole range in one step, a grid you can paste a spreadsheet into, and a trash that forgives mistakes.

In short

What It Does

Collections by Rules

A collection can be hand-picked or by rules. A rules collection has up to 20 rules, matching all or any: a tag, words in the title, the product type, a brand, a category (that one or any under it), the price (some variant under or over an amount), being on sale, being in stock, or a custom field's value. The editor previews the count and the newest matches before you save, and from then on products join and leave on their own as they change. Everything that uses collections (menus, filters, discounts, pages) works with rules collections exactly as with hand-picked ones.

Brands

Products → Brands lists your brands with their logos and product counts; add or edit one in a side sheet, upload a logo, or remove one (its products simply have no brand).

Bulk Changes with UNDO

Select products in the list and:

  • CHANGE PRICES by a percentage or an amount, up or down, or to one price; rounded to the rupee or to a price ending in 9 or 99 (down when lowering, up when raising); compare-at prices kept, cleared, or set to the old price so a markdown shows as a sale. A price of ₹0 or less stops the whole run.
  • ADD TO or REMOVE FROM CATEGORY, SET BRAND, SET WEIGHT.

Each change can be undone for an hour, and an undo puts back only what is still as the change left it.

The Bulk Editor

The Bulk Editor (from the Products list) opens up to 100 products with their variants in a grid: price, compare-at, cost, stock on hand, search title and description. Enter and the arrow keys move down a column, and a column or block pasted from a spreadsheet fills down. One SAVE writes every changed cell together, and refuses if someone changed a row since you opened it. Stock is counted with a reason in the stock history (and read-only when you keep stock in several places).

Swatches

In the product editor, an option can show as buttons, swatches or a dropdown; a swatch is a colour (a picker or #RRGGBB) or a small picture per value, with a preview.

Custom Fields

Settings → Custom Fields defines fields every product can have: text, a number with its unit, a choice, yes or no, a date, or a link, each shown to shoppers or kept for your team. Values are set in the product editor, and the fields shown to shoppers appear in the product page's Specifications.

The Trash

Deleting a product moves it to Products → Trash, with who deleted it and when it goes for good (30 days to start with). RESTORE puts it back as it was; DELETE FOREVER removes it now.

For your store

Why It Matters

Festive sales, new ranges and price revisions touch hundreds of products at once. Doing them one by one takes days and invites mistakes; doing them in one step with an hour to undo makes them safe.

Collections by rules keep themselves right: "Under ₹999", "New in Gold" or "In Stock Now" never show a product that no longer belongs. Custom fields put the details your shoppers ask about (material, care, warranty) on every product page in the same place. And the trash means a deleted product is a click away from coming back.

Step by step

How It Works

  1. Make a Collection by Rules

In Products → Collections, create a collection, choose By rules, add rules and see the matching products before you save.

  2. Change Prices for a Range

Filter or select products on the Products list and press CHANGE PRICES; preview the rounding and the compare-at choice, apply, and UNDO within the hour if needed.

  3. Edit Many Products in the Grid

Open the Bulk Editor from a selection, type or paste from a spreadsheet, and SAVE once.

  4. Add Your Custom Fields

Define fields in Settings → Custom Fields, then fill them in on each product (or in bulk through import).

  5. Restore From the Trash

Deleted something by mistake? Products → Trash → RESTORE.

What Your Shoppers See

Shoppers see collections that are always right, prices that change together, swatches in your colours, and the custom fields you choose in each product's Specifications.

Mercayo's Controls

How many custom fields (30 to start with) and how many collections by rules (100 to start with) a store may have is set by Mercayo, which can also lock the store's catalogue settings with a reason your admin shows. Every bulk change and undo is checked by the database against the person's rights.

Good to Know Before You Start

  • The grid opens up to 100 products at a time.
  • Collections by rules cannot be edited by hand (only reordered); switching one back to hand-picked keeps its products.
  • Bulk changes can be undone for an hour.
  • Stock in the grid is read-only when a store keeps stock in several places.

Questions

About Catalogue Tools

Do rules collections work in menus and discounts?

Yes, exactly like hand-picked ones: menus, filters, discount conditions and pages all read the same membership.

How does price rounding work?

You choose the rupee, or prices ending in 9 or 99. Lowering rounds down and raising rounds up, so a markdown never rounds back up.

Can I paste from Excel?

Yes. Paste a column or block into the grid and it fills down from the cell you are on.

What is the difference between custom fields and personalisation?

Custom fields are facts you set on a product (material, warranty). Personalisation is what a shopper types or chooses when adding to the bag.

Are deleted products gone at once?

No. They wait in the trash for the days you set, and RESTORE brings them back as they were.
