Know About Every New Order, Wherever You Are

A new order should never sit unnoticed. Mercayo emails your team as each order arrives, and the bell in your admin keeps a list of what happened while you were away.

Kosha is a demo store on Mercayo. Its products, orders and customers are sample data.

In short

What It Does

Order alert emails go out:

  • for a cash on delivery order, as soon as it is placed;
  • for a prepaid order, when its payment arrives (never for an unpaid one);
  • when a cash order is confirmed by your team's call, if you use the call.

They go to the owner's sign-in email and up to 5 more addresses (for example orders@yourbrand.in), each once per order. The email shows the items, the total, how it is paid and what to collect, the customer and city, your logo, and VIEW ORDER straight into your admin.

An optional text message to the owner's phone for each new order can be switched on.

The bell at the top of your admin lists new orders, failed deliveries, exchanges and low message credit from the last days you choose (14 to start with). A busy store can leave new orders out of the bell; failed deliveries, exchanges and low credits always appear.

Demo orders on Mercayo's demo stores never send alerts.

What the Alert Email Shows

The items, the total, how the order is paid and what to collect on a cash order, the customer and their city, your logo, and VIEW ORDER straight into the admin.

The Bell, in Detail

The bell's count updates after the page shows, every minute while the tab is open and whenever you come back to it, so it never slows a screen down. Its feed lists the newest items with what they are about; read or not is kept for each person separately, and MARK ALL READ clears your own count. People see only what their role allows: orders, failed deliveries and exchanges need the right to view orders, low credit needs the right to see the wallet.

For your store

Why It Matters

Speed matters most in the first hours of an order: a quick confirmation call for a cash order, a quick dispatch for a prepaid one. Alerts to the right inboxes, including a shared orders address your packer reads, mean nobody has to keep refreshing the admin.

It also spreads the work: a packer who reads the shared orders address can start packing without waiting for the owner, and the confirmation email tells everyone a cash order is safe to ship. The bell keeps the same events in the admin, so whoever signs in next sees what happened.

Step by step

How It Works

  1. Choose Who Gets Alerts

In Settings → Notifications → Order Alerts, keep the owner on, and add up to 5 more email addresses.

  2. Choose Which Alerts

Email about new orders, email when a cash order is confirmed, and, if you want, a text message to the owner's phone.

  3. Watch the Bell

The bell in the admin's top bar lists new orders, failed deliveries and exchanges; set how far back it looks in Settings → Admin and Reports → Admin Bell.

Questions

About Order Alerts

Is the bell the same for everyone?

No. Read or unread is kept per person, and each sees only what their role allows.

Will I get an alert for an unpaid online order?

No. A prepaid order alerts you when its payment arrives, so you never pack an order that was not paid.

Can my packer get the alerts?

Yes, add their address (or a shared orders address) among the 5 extra addresses.

Do alerts cost anything?

Alert emails use your plan's included messages first, then your message credit; the optional SMS is paid per message.

Can I turn the bell's new orders off?

Yes, for a busy store. Failed deliveries, exchanges and low credits still appear.
