Shipping Labels

Labels for Many Orders in One Go, Through Your Own Shiprocket or Shipway

Packing day should not mean copying addresses into a courier website. Select the orders in your admin, press GENERATE LABELS, and print the labels, through your own Shiprocket or Shipway account and its rates.

In short

What It Does

With your Shiprocket account connected, labels are made from the Orders list:

  1. Select the orders to ship (up to 100 at a time), or a single order.
  2. Press GENERATE LABELS. Mercayo books each order with Shiprocket: it creates the shipment, asks which couriers serve the PIN code for that weight (and for cash on delivery, when the parcel is COD), picks a courier by your rule (the cheapest, the fastest, or your preferred couriers in order) and gets an AWB for it.
  3. The run shows its progress order by order. Orders that cannot ship say why in plain words and stay selected, so you fix them and try again; nothing is charged for them.
  4. DOWNLOAD LABELS (PDF) gives one PDF for the whole run.
  5. With Book the pickup with the labels on, the courier's pickup is booked straight away.

With Shipway as your courier account, the run works the same way: each order is sent to Shipway and booked with the courier your rule picks. Each parcel's label comes with its AWB, so a run lists a label per parcel instead of one merged PDF, the pickup is booked by manifest, and a booking can be cancelled from the admin.

Which Orders Can Ship

An order is ready for a label when it is confirmed, not yet shipped and has no label already. The run checks each one first and says why it is held back:

What the Run SaysWhat to Do
Not paid yetWait for the online payment, or cancel the order
Already has a label (AWB …)Nothing: it is on its way already
Weight missingAdd weights to the products, or a package weight in Settings → Labels and Pickups
The delivery address is incompleteCorrect the address on the order
PIN … is not served by any courierShip it yourself, or ask the shopper for another address

The parcel's weight is the sum of its products' weights; when none of them has one, your package weight is used. The box size is your usual size from the same settings.

After the Labels

From then on, the parcel's progress comes back by your courier account's webhook (Shiprocket's or Shipway's) into the order, the Shipments list and the shopper's tracking page. Every update is stored with its time and place. An older update never moves a parcel backwards, and the same update sent twice changes nothing. A safety check also asks the courier account about parcels on the way that have had no news for 12 hours.

The order follows its parcel on its own: shipped once the courier picks it up, delivered when the courier delivers it, and, for a cash on delivery parcel that comes back, returned to origin, with its stock put back and the GST credit note issued.

The money: your courier account (Shiprocket or Shipway) charges you for each AWB, at your own rates, and COD cash collected by the courier is paid to you through it. Mercayo is never in between.

For your store

Why It Matters

Making labels one by one on a courier website is the slowest part of a busy day: copy the name, the phone, the address, the PIN code, the weight, the cash to collect, then choose a courier, then download a label, for every order. Doing it in bulk from the order list, with the courier chosen by your own rule, turns an hour into a few minutes, and it removes the typing mistakes that send a parcel to the wrong flat.

The courier rule matters in India, where the cheapest courier for a metro is often not the one that reaches a small town quickly, and some couriers do not take cash on delivery everywhere. Mercayo asks Shiprocket for the couriers that serve each PIN code for that parcel, then applies your rule, so you never pick a courier that cannot deliver there.

Because the parcel's updates flow back into Mercayo, your team and your shoppers see the same status. Your Home screen and the bell show what needs attention, such as failed deliveries, without anyone checking another website, and the shopper's "where is my order?" is answered by your own tracking page.

Step by step

How It Works

  1. Connect Shiprocket

In Shiprocket, open Settings → API → Configure and create an API user. In Mercayo, open Settings → Shipping and Delivery → Courier Accounts and press CONNECT SHIPROCKET with that user's email and password: they are checked with Shiprocket at once, then kept encrypted. Mercayo then shows a webhook address and a security token, once: paste both into Shiprocket's Settings → API → Webhooks, switch it on, and press DONE, I HAVE ADDED IT. See Shiprocket.

  2. Set Your Courier Rules

In Settings → Labels and Pickups, switch on Courier integration and choose Choosing the courier: cheapest, fastest, or preferred. For preferred, type Preferred couriers in order, separated by commas, such as "Delhivery, Blue Dart". A name also matches the courier's variants that start with it ("Delhivery Surface"), the cheapest of them; when none on your list serves the PIN code, the cheapest courier is used. Set your usual box size and a Package weight (g) for products without weights.

  3. Select Orders and Generate Labels

On Orders, tick the orders (on a phone, touch and hold) and press GENERATE LABELS. The confirmation reminds you that Shiprocket charges your wallet for each AWB it gives, and that orders which cannot ship cost nothing. Each order is booked one after another, a few seconds each: keep the window open until the run finishes.

  4. Read the Result

The run ends with a count of orders ready to ship and orders that need attention. Each row shows the order with its AWB and courier, or the reason it failed in Shiprocket's or Mercayo's words. The failed ones stay selected, so you fix what each says and press GENERATE LABELS again. An order that got its AWB but no label is finished on the next run without a second AWB.

  5. Print and Hand Over

Press DOWNLOAD LABELS (PDF): one file with every label of the run, ready to print. Stick each label on its parcel, with the packing slip inside, and hand the parcels to the courier at pickup. A single parcel's label can be downloaded again later from its page under Shipments.

  6. Follow Every Parcel

Shipments lists every parcel in tabs: To Pickup, In Transit, Delivered, NDR, RTO, and Cancelled or Lost. Each row shows the order, the courier and AWB, the latest update, the status and the cash to collect (or Prepaid). A parcel's page has its tracking timeline from the courier's updates, its expected date, weight, box size and pickup, and any problem in plain words.

What Your Shoppers See

Nothing changes for the shopper until the parcel moves. Once the courier picks it up, the order shows as shipped, the "shipped" email goes out with their tracking link (if you keep the Order shipped email on), and your store's tracking page fills with the courier's updates as the parcel travels: picked up, on the way, out for delivery, delivered, each with its time and place. The courier's name and AWB are on the page with a COPY button, for anyone who prefers to call the courier.

Mercayo

Mercayo's Controls

Mercayo's team can switch the integration off for a store or fix its courier rules, with a reason your admin shows; every change is in Mercayo's audit log, and the label run always reads the effective value (Mercayo's override first, then your setting). Your Shiprocket password and webhook token are stored encrypted and never shown again. Mercayo never pays or collects courier money: AWB charges come from your Shiprocket wallet and COD cash reaches you through Shiprocket. Who on your team may make labels is decided by your staff roles: it needs the right to edit orders.

Limits today

Good to Know Before You Start

  • Mercayo works with two courier accounts, Shiprocket and Shipway; either can be your default.
  • Orders with a part paid online (part payment for COD) are refused by GENERATE LABELS through Shiprocket: book those in your Shiprocket dashboard.
  • Labels are made in bulk from the list (a single order is a selection of one); there is no label button on the order page.
  • The label size setting (A4 or 4×6) is stored but not used: labels come as your courier account makes them.
  • A courier account cannot be disconnected while any of its parcels is still on the way.
  • Return pickups for exchanges and returns are not booked through Shiprocket from Mercayo; your team arranges them.

Questions

About Shipping Labels

Do I need my own Shiprocket account?

Yes. Mercayo works with your own account, rates and wallet, so your courier terms stay yours and your COD money is paid to you by Shiprocket as before. Create an API user in Shiprocket for Mercayo rather than giving your own sign-in.

How many orders can I label at once?

Up to 100 per run. Each is booked one after another, taking a few seconds each, so a full run takes a few minutes; keep the window open while it runs. For more than 100, run again with the next selection.

What if an order cannot be shipped?

It says why (for example a PIN code no courier serves, a missing weight or an incomplete address), stays selected, and costs nothing. Fix it and generate its label again. If Shiprocket stops accepting the sign-in in the middle of a run, the run stops, the account is marked for a reconnect, and the rest wait for you.

How do orders become shipped and delivered?

From Shiprocket's webhook: each courier update is stored and moves the order on its own, to shipped at pickup and to delivered at delivery. A safety check asks Shiprocket about parcels with no news for 12 hours, so a missed update does not leave an order stuck.

Can I ship without Shiprocket?

Yes. Ship with any courier yourself and move the order on with SHIP and MARK DELIVERED on the order page. Those orders still get their GST invoice, emails and tracking page; only the courier's live timeline needs Shiprocket.

What happens if I run GENERATE LABELS twice on the same order?

Nothing is booked twice. An order that already has its label is refused with "Already has a label" and its AWB. An order whose courier was assigned but whose label failed is finished without a second AWB.

Which weight is sent to the courier?

The sum of the order's product weights, from each variant's weight in the product editor. When none of them has a weight, the Package weight from Settings → Labels and Pickups is used; with neither, the order is refused so the courier never gets a guess.
