Profit & Loss

Your real profit each day after product cost, shipping, gateway and COD fees, RTO, refunds, ads and your own costs, with the figures your couriers and Razorpay report filled in for you.

Analytics › Profit & Loss works out what your store really earned: what shoppers paid without GST, less every cost of getting it to them. Most figures come from the store itself, from Razorpay and from your couriers; you enter only what nobody else knows (rent, salaries, ad spend, packaging). It is for the store's owner: give it to someone else by adding the Profit & Loss right to their role in Settings › Staff.

New to it? Start with Profit & Loss, Step by Step: what to set up once, and what to check each day, each week and at month end.

Realised and Booked

ModeWhat Counts as Revenue
RealisedA cash-on-delivery order on the day it is delivered; a paid order on the day it was paid
BookedEvery order on the day it was placed (what you have sold, before couriers finish)

Cancelled orders and RTO parcels never count as revenue in either mode. An RTO costs its freight out and back and your loss rate on the day the parcel turned back.

Where Each Figure Comes From

Every line carries a badge: ACTUAL (from Razorpay, a courier or your own records), ESTIMATED (one of your fallback rates, or the courier's quote when the label was made) or YOU ENTERED.

LineFrom
Revenue (No GST)Each order's total less its GST: sales less discounts, with delivery and fees charged
Product CostThe cost price saved on each order line when it was sold
Shipping, ForwardThe courier's own charge, else the booking quote, else your rate per parcel
Gateway FeesRazorpay settlements (fee and its GST) for each payment, else your gateway rate
COD FeesThe courier's COD charge, else your COD fee rate
RTOFreight both ways (the courier's, else your rates) and your loss on an RTO
Refunds and ReturnsRefunds given, without their GST (the credit note's figure when there is one)
Packaging and Per-OrderYour costs counted once for each order
AdsYour usual daily amounts, the days you changed, or an ad account's CSV
Fixed CostsYour monthly costs, spread evenly over each day of their month
One-off ExpensesOn their own day, or spread over their month
Messages and PlanYour wallet's message charges and your Mercayo plan, spread over the days it pays for

How Sure Is This? counts what is still an estimate and links to the fix: upload a courier statement, or add cost prices to the products sold without one.

GST input credit. If you claim it, tick I claim GST input credit in Your Costs: costs are then counted without GST. If you do not, GST is added to courier and gateway figures and to cost prices at the sale's rate.

Your Costs

Enter fixed monthly costs (with the month they start and, if they end, the last month), costs for every order, ad spend, one-off expenses and the rates used until a partner reports the real figure. ADD EXPENSE on the phone adds a one-off cost from the Profit & Loss page itself.

Courier Charges and COD

  • READ NOW asks Shiprocket for the charges of recent parcels that have none yet. Shipway's connection does not report charges; use its statement file.
  • Drop a courier statement: a Shiprocket or Shipway shipping charges report or COD remittance report, as Excel (.xlsx) or CSV. Each line is matched to its order by tracking number (AWB). Check the matched and not-found lines, then APPLY. If your file names its columns differently, name them once; they are kept for that courier.
  • A remittance marks its parcels cash received with the date and bank reference (UTR). If it paid less than its parcels' COD value, it shows SHORT BY the difference, so you can raise it with the courier.
  • COD still due after the days set in Settings › Checkout (COD remittance due within, 9 days unless you change it) shows as overdue.

What If

WHAT IF opens a 30-day month worked out from the days on screen. Move orders a day, the average order, the cash-on-delivery share, RTO on COD orders and ad spend a day to see the month's profit change. SAVE AS A TARGET keeps it.

Export

EXPORT CSV downloads the daily ledger: every day's orders, revenue and each cost, without GST, with a total row.
