Activity Log

Who Changed What, and When

When a price changed or an order was cancelled, you should not have to ask around. The activity log tells you who did it, when, and what it was before.

The admin on a phone

Kosha is a demo store on Mercayo. Its products, orders and customers are sample data.

In short

What It Does

The activity log is written by the database itself, whenever a member of your team (or a Mercayo support session) changes one of the things that matter, including:

products and variants, collections and categories, orders and refunds, discounts and their codes, gift cards and store credit, reviews, settings and COD rules, texts, pages and published layouts, menus, policies, your brand and theme, filters, team members, roles and invitations, payment and courier accounts, delivery zones and rates, exchange reasons, GSTINs and tax rates, store details and domains.

Because the database writes it, a change is recorded whichever screen made it: the product editor, a bulk action, an import, the phone admin. Nobody has to remember to log anything.

What Each Entry Says

Each entry is a sentence in plain words, such as "Moved order #1042 from Confirmed to Shipped" or "Changed the variant Cotton Kurta, M: price ₹499.00 → ₹549.00", in four columns: What Changed, Who, Area and When.

  • Who is the person's name at the time. If they have since left, the entry stays, marked as a removed account.
  • When is in your store's time zone.
  • Area is one of twelve: Products, Orders, Customers, Discounts, Content, Settings, Team, Payments, Delivery, Tax, Reviews and Store.
  • The old and new values are shown for plain fields like price, MRP, stock, status, amount, rate, COD switches, role and title. Other changes say which fields changed. Secrets are never shown or named one by one.

Some actions are written as one clear line rather than many small ones: handing over the store reads "Handed the store from A to B", not two role changes.

Whose Actions It Holds

Shoppers, background jobs and scripts are never mixed in: the log is your team's actions. Changes made in a Mercayo support session appear with the support person's name, marked Mercayo support (Mercayo's setting, on by default). Mercayo's overrides for your store appear in the same list, as by Mercayo, with the reason given.

Finding Things

You can search ("Search product, order, setting…"), filter by person, area and a date range, and page through 50 at a time. The filters stay in the page's address, so a filtered view can be bookmarked or shared with a colleague. EXPORT CSV saves what you filtered (up to 10,000 rows) as a file that opens in Excel or Google Sheets. The screen says how far back the log goes. Nobody can edit or delete an entry.

For your store

Why It Matters

Mistakes happen in every team. A log that shows exactly what changed makes them quick to undo and easy to learn from, without blame games. It also tells you, at a glance, what a new team member or a support session did in your store.

It is your record when something goes wrong with a payment, a price or a setting: what was done, by whom and when, written by the database itself so it cannot be edited afterwards. That is the kind of trail an accountant or an auditor expects a serious business to keep, and it helps when a GST rate or an invoice number setting changes and someone asks why.

In a festive sale, many hands touch prices, discounts and stock in a few days. When a product suddenly sells at the wrong price, or a COD rule disappears, the log answers in seconds instead of a round of phone calls. And when you give a freelancer or a new hire access, you can see afterwards exactly what they did with it.

Step by step

How It Works

  1. Open the Log

Go to Settings → Activity Log. It opens for anyone whose role includes See the activity log: the owner and admins always, and anyone else you give that permission to in Staff and Roles, such as an accountant or a store manager.

  2. Read an Entry

Each row is one change: what changed, in a sentence with the order number or the product's name; who made it; the area; and when, in your time zone. Where a price, a stock count, a status or a switch changed, the old value and the new one are shown with an arrow between them.

  3. Narrow It Down

Search by a product's name, an order number or a setting. Filter by Person, Area or Dates: for example, everything one person changed in Products last Saturday. The filters stay in the address, so you can bookmark a view or send the link to someone on your team.

  4. Export

EXPORT CSV saves the filtered entries (up to 10,000 rows at a time) for your records or your accountant, in the same plain words as the screen. Narrow the dates to export a longer history in parts.

  5. Check Support Visits

Changes made while Mercayo's support team was in your admin show their name with "Mercayo support". For each support session as a whole (who, why, the access, what was changed), open Settings → Support Access.

Mercayo's Controls

Mercayo sets how far back the log shows (a year to start with). Nobody, Mercayo included, can edit or delete an entry: the database refuses it, and entries are removed only with the store itself. Mercayo's own changes to your store's settings (an override or a lock, always with a reason) are written to your log too, so you are never left wondering why a setting changed. Whether support sessions name the person on their changes is a Mercayo setting, on by default.

Limits today

Good to Know Before You Start

  • It records team members' and support sessions' changes, not shoppers' actions (orders placed, reviews written are in their own screens).
  • Old and new values are shown for plain fields only; other changes say which fields changed.
  • It shows a year back by default.
  • An export holds up to 10,000 rows; export a longer history in parts by date.
  • There is no detail panel per entry yet: the sentence and the old and new values are what it shows.

Questions

About Activity Log

Can a staff member delete their entries?

No. The log is append-only for everyone, Mercayo included. The database refuses any change or deletion of an entry, whatever the person's role. Entries go only when the whole store is removed.

Does it show changes Mercayo made?

Yes. Mercayo's overrides for your store are in the same list, with their reason, and changes made in a support session are marked as Mercayo support with the person's name by default.

Are passwords or keys ever shown?

No. A change of a payment or courier key says that the account changed, never what the key is. Secrets are not even named one by one in the list of changed fields.

Who can see the activity log?

People with See the activity log in their role: the owner and admins always, and anyone you give that permission to in Staff and Roles. Someone without it sees a plain note that their role does not include the log.

Is a bulk change or an import recorded too?

Yes. The database writes the log for every change to the tables it watches, whichever screen or action made it, so a bulk price change or a product import shows each change with the person who ran it.

What does it show for someone who has left?

Their entries stay, with the name they had at the time. If their account was removed altogether, the entries show a removed account, so the history is never rewritten.

Does it record orders placed by shoppers?

No. The log is for your team's actions. Orders, reviews and sign-ups by shoppers are on their own screens. What your team then does with an order (confirming, shipping, cancelling, refunding) is in the log.
